Billing and your licence

Trials, Direct Debit, paid users, read-only mode and cancelling.

Your trial

A new organisation has a 30-day trial with everything included. Settings → Billing shows how long is left.

Setting up Direct Debit

An owner or admin opens Settings → Billing, chooses monthly or yearly and selects Set up Direct Debit. You're taken to GoCardless's secure page to enter the bank details; Doctilla never sees them. When the mandate is active, the licence becomes active.

A paid user is a member whose quality role is anything other than viewer, or who holds a Product assurance role that can write (administrator or technical approver). Viewers are free. The price is £450 a month for up to 25 paid users, then £18 per extra paid user a month, plus VAT. Yearly is ten months' price for twelve. See Pricing.

How charges are worked out

  • At the start of each period Doctilla counts your paid users and works out the charge, shown in Settings → Billing before it is collected.
  • A yearly charge covers your paid users at renewal, with a minimum of 25. If you go above that during the year, the extra users are charged monthly at the per-user price until renewal.
  • Each charge is recorded before it's collected, so a retry can never take a payment twice.

Read-only mode

If a trial ends without a Direct Debit, a payment fails or a mandate is cancelled, the organisation becomes read-only. Everyone can still sign in, read every record and export everything; nobody can add, change or delete records. This is enforced by the database. Setting up a Direct Debit makes the organisation writable again straight away.

Cancelling

An owner or admin can cancel from Settings → Billing. The licence runs to the end of the period you've paid for, then the organisation becomes read-only. Nothing is deleted unless an owner asks for it.
