Importing data
Bring in nonconformity logs, product lists and standards without overwriting anything.
How every import works
- You see it before it happens. Doctilla matches your columns to its fields and shows what each row will become. Change any column mapping before importing.
- Nothing is overwritten by default. Rows that match an existing record are skipped.
- Update mode only fills in. If you choose to update existing records, only non-blank values Doctilla recognises are written. A blank cell never wipes out data.
- Every import can be removed. Removing an import deletes only the records that import created.
Nonconformity logs
On the NCRs page, choose Import CSV. Doctilla recognises common column names for each field, for example:
| Field | Recognised headings include |
|---|---|
| NCR number | NCR no, NCR number, NCR ref, report no, reference |
| Title and description | Title, summary, description, details |
| Date raised | Date raised, raised on, date opened, date reported, date |
| Source, category, severity | Source, origin, category, defect type, classification, severity, priority |
| Status and disposition | Status, state, disposition, MRB decision, outcome |
| Supplier, customer, project | Supplier, vendor, customer, client, project, job no, works order |
| Quantity and cost | Qty, quantity affected, cost, total cost |
| Containment and closure | Containment, immediate action, closed date |
Numbers are kept if your file has them; otherwise Doctilla assigns them. Links to corrective actions are never imported; group imported NCRs under a CAR afterwards. Training video: Nonconformities.
Product lists
On the Products page, choose Import and pick an Excel (.xlsx) or CSV file. Recognised fields are product code, name, family, description, status and owner (by email). The same skip, update and remove rules apply.
Standards and requirements
On the Standards page, choose Import standard and pick a Word document, a PDF or a CSV.
- Doctilla works out clause numbers and headings, including Word's automatic numbering, and skips contents pages, running headers and footers, telling you what it skipped.
- You must confirm you hold a licence for the standard's text. It's stored only in your organisation.
- Existing clause codes are skipped. Removing an import also removes clauses added under its clauses since, and the confirmation tells you how many.
Doctilla doesn't provide the text of any standard. Training video: Standards.
Product datasheets
On a product's page, choose Import datasheet and upload the PDF. Doctilla finds the claims in it and shows each one with the words it came from. A claim is kept only if those exact words are in the datasheet. Accepted claims are created as drafts, and the datasheet is filed as a draft specification with the PDF as its controlled copy.
