Introduction

ISO 9001 is built around processes, and so is Doctilla. Audits, nonconformities, corrective actions and risks all point back to the process they belong to. In this video, we'll map processes, write down how each one works, and keep that up to date.

The process tree

The process map starts as a tree. At the top are departments, such as production or quality. Under each are the main processes, then procedures, then work instructions. Open and close the branches to find your way around, and use add child to put a new process in the right place.

The visual map

The visual map shows the same processes as a diagram, with the links between them: what feeds what. It's laid out for you automatically, and it's a good way to explain your system to a new starter or an auditor.

A process's details

Click any process to open it. Details shows its owner, its level and when it's next due for review. Links shows the processes it connects to, and records shows everything raised against it, from audit findings to corrective actions.

How the process works

The detail tab is where you write down how the process actually works: the purpose, the steps, the settings and the checks. It's built from headings, lists and tables, so it stays tidy. If you'd rather talk than type, describe lets you say it out loud and Doctilla drafts it for you to check.

Revisions

Every time the detail is released, Doctilla keeps the old revision. History shows who changed it, when, and why, and you can open any earlier revision to see exactly what it said at the time.

Updating by conversation

You can also change a process just by saying what's changed. Here, we'll note that trainees on the night shift need a competent operator with them. Doctilla proposes the exact change, showing what's there now and what it would become. Nothing is saved until you confirm it.

Creating from a description

Starting from scratch? Choose create from description, and describe an area of the business in a sentence or two. Doctilla suggests a structure of processes to start from, which you can adjust before anything is created.

Next

That's process mapping. Next, we'll plan and carry out an internal audit.
