Introduction

In this video, we'll set up an organisation properly: your own profile, the company's details, your quality system, the people on your team and what each of them can do. It all lives in Settings, and you only need to do most of it once.

Your profile

Start with your own profile. Add a photo, your name and your job title. Your name appears on everything you do in Doctilla, from audit findings to approvals, so it's worth getting right.

Company details

Next, the organisation tab. This is the company name that appears in Doctilla and on your reports, along with your registered details and address. Underneath, the regional settings decide how dates and money are shown, so a British company sees pounds and day, month, year.

Your quality system

The quality system tab records the basics an auditor will ask about: the scope of your management system, your quality policy, who your quality manager is, and the standards you're certified to. Add your certification body and the date of your next external audit, and set how often controlled documents should be reviewed.

Members and roles

Members and access is where your team lives. Each person has a quality role. Owners and admins run the organisation, users do the day-to-day work, auditors carry out audits, and viewers can look at everything without changing anything. Product assurance has its own roles, so a technical approver can sign off product changes without being an admin.

Inviting people

To bring someone in, choose invite people, type their email address, and pick their role. Doctilla emails them a link. Until they accept, the invitation waits here, where you can resend it or withdraw it.

Workflow

Workflow holds the rules that run in the background. Reminders decide when Doctilla nudges people about actions, audits and corrective actions. Audit rules can bring an audit forward when problems pile up in a process. And cost rates let you put a fair price on the time a problem costs.

Billing

Finally, billing. There's one price for the whole organisation, monthly or yearly, and viewers are always free. You pay by Direct Debit, set up in a couple of minutes, and you can cancel at the end of any period.

Next

That's your organisation set up. Next, we'll make it look like yours: your logo, your colours, and reports that carry your brand.
