Introduction
Doctilla's document register keeps track of your controlled documents: what revision is current, who approved it, when it's due for review, and where the master lives. Your documents can stay in SharePoint or on the server. Doctilla keeps the control.
The register
The register lists every document with its number, revision, status and review date. Filter by type, status or process. Anything in review, or overdue for review, stands out.
Adding a document
To add one, give it a number, a title and a type, and say which revision it's on. Record who owns it, which process it governs, and where the master is kept, as a link or a note.
A controlled document
Here's the quality manual. Details show who owns it, who approved this revision and when, and when it's next due for review. Where it lives shows the master location, and if Doctilla holds a controlled copy, it opens from here.
Revision history
The revision history is a permanent record of every approval: the revision, who approved it, when, and what changed. It can't be edited. When it's time for the next issue, start new revision.
Approving a revision
The complaint handling procedure has a new revision waiting. Approving it is a deliberate step: say who approved it, when, and what changed. Doctilla records the approval in the history, and the next review date runs from today, using your organisation's review interval.
Issuing to suppliers
Some documents go to suppliers, like a material specification. Issued to suppliers shows who has which revision and whether they've acknowledged it, so when you revise it, you know exactly who needs the new one.
Next
That's documents. Next, the management review, where everything we've covered comes together.
